With CannyBill, you can not only customise the content of the email templates you send your customers, but also the entire look and feel of them - allowing you to tie the design of your billing system all together with your company's existing online presence.
Your email template's base design is set in the Settings » Theme Settings page. Although the Theme Settings page will determine the style and layout of your emai correspondence, you will use the Email Templates here to set the actual content of the emails.
Email Template Details
All email templates contain the same basic fields. You can then customise the content of these fields, as follows:
- The Edit Template line displays which Email Template you are currently viewing / editing.
- Apart from sending the email to the customer, you also have the option to CC any email address, or group of email addresses in to the message too. Simple enter the email address(es) you wish to CC in on the message one after the other, seperated by commas.
- As above, you can also BCC any number of email addresses in on the message, without the other recipients of the message being disclosed.
- The From field should be your CannyBill order email address. This can be an email address other than one used in CannyBill.
- The Reply To will be the email address used when customers reply to the message. This can also be an email address other than one used in CannyBill.
- Most email clients allow for messages to be sent and received with various Priority settings. Depending on the urgency or importance of the message, you can set a higher level of Priority to draw attention to more important messages, such as payment invoices, reminders and account suspension notices.
- The Subject Line should be short and to the point, to remove any possibility that the client might misunderstand the purpose for the email.
- You have the option to add an HTML Message to your email, containing both HTML markup and inline CSS styles, in addition to your existing Invoices Theme template.
- Various email clients out there have different ways of dealing with HTML (some even stripping it out completely). And as your customers have the option of selecting either HTML or plain text-based email correspondence as their preference, it is essential that you include a Plain Text Message with your emails. The message should be an exact duplicate of the HTML Message, although without the markup and styles.
